The task
Clinics have to run internal quality and safety controls: staff qualifications, inventory, first-aid kits, equipment, records. One doctor could account for more than ten documents a day.
Templates did not solve it. Every clinic adapted them, paid lawyers, and watched for changes in the law — around RUB 100,000 a month. Staff still checked each document by hand, and a documentation error in a patient dispute could cost about RUB 500,000.
What we built
SB21 holds the data — qualifications, inventory, medicines, equipment — fills the right template from it and produces the finished PDF. It watches expiry dates, sends the reminders, and collects signatures, including by personal link with no separate login.
The hard part was dependency. Some documents form chains three or four levels deep and are governed by dates as well as by each other. When source data changes, every dependent document is rebuilt and the signatures are requested again.
Result
Two clinics in the first pilot, seven more in the second. The pilot showed staff were getting lost in the interface, so we simplified it and added a knowledge base that says what is due daily, weekly, monthly, twice a year and yearly.
The subscription is RUB 20,000 a month against the RUB 100,000 the clinics had been spending. The core cost came down by at least 80%.
